Cloud Merge

Cloud Services – Merge your existing data

If you’ve already been using Evidence for Learning for a period of time prior to setting up your cloud data you will most likely have data on your devices that you’ll want to merge or match with the central cloud data.

This guide will give you step by step instructions on how to do that and what to expect.

Merging Learners

IMPORTANT: It’s important to make sure that if you have 2 or more learners with the same name in the cloud data that you can distinguish between them and that you know which one you want to match your device with.

You will need your Cloud Admin Password.

Make a connection…

Step 1: Tap Menu > Cloud Settings and enter your Cloud Admin Password.

Step 2: Select ‘Merge Device and Cloud Data’ from the list of options.

Step 3: Tap on Learners, this will list the learners you have on this device.

Step 4: Now choose which learner you are looking to merge.

Step 5: You’ll be presented with the learners in the Cloud that share the same first name. Select the learner you want to merge with. It will ask you to confirm.

Be careful to choose the right learner as the attributes for the learner on the device (name, email, parent details etc) will be overwritten with the cloud version.

Repeat for other learners.

Break a connection…

Step 1: Tap Menu > Cloud Settings and enter your Cloud Admin Password.

Step 2: Select ‘Merge Device and Cloud Data’ from the list of options.

Step 3: Tap on Learners.

Step 4: Tap on the learner that you wish to break the connection with the cloud for and confirm when prompted.

Repeat for other learners.

You can re-merge the same learner again by following the make a connection steps above.

Merging Tags

You will need your Cloud Admin Password.

Make a connection…

Step 1: Tap Menu > Cloud Settings and enter your Cloud Admin Password.

Step 2: Select ‘Merge Device and Cloud Data’ from the list of options.

Step 3: Tap on Tags, this will list the tags you have on this device.

Step 4: Now choose which tag you are looking to merge.

Step 5: You’ll be presented with the tags in the Cloud that have the same name. Select the tag you want to merge with. It will ask you to confirm.

The tag on the device will be overwritten with the cloud version.

Repeat for other tags.

Break a connection…

Step 1: Tap Menu > Cloud Settings and enter your Cloud Admin Password.

Step 2: Select ‘Merge Device and Cloud Data’ from the list of options.

Step 3: Tap on Tags.

Step 4: Tap on the tag that you wish to break the connection with the cloud for and confirm when prompted.

Repeat for other tags.

You can re-merge the same tag again by following the make a connection steps above.

Merging Date Ranges

You will need your Cloud Admin Password.

Make a connection…

Step 1: Tap Menu > Cloud Settings and enter your Cloud Admin Password.

Step 2: Select ‘Merge Device and Cloud Data’ from the list of options.

Step 3: Tap on Date Ranges, this will list the date ranges you have on this device.

Step 4: Now choose which date range you are looking to merge.

Step 5: You’ll be presented with the date ranges in the Cloud that have the same name. Select the date range you want to merge with. It will ask you to confirm.

The date range on the device will be overwritten with the cloud version.

Repeat for other date ranges.

Step 2: Select ‘Merge Device and Cloud Data’ from the list of options.

Step 3: Tap on Date Ranges.

Step 4: Tap on the date range that you wish to break the connection with the cloud for and confirm when prompted.

Repeat for other date ranges.

You can re-merge the same date range again by following the make a connection steps above.

Merging Frameworks

NOTE: Frameworks are complex data structures. You will only be able to merge frameworks between the device and the cloud if they have the same structure.

You will need your Cloud Admin Password.

Make a connection…

Step 1: Tap Menu > Cloud Settings and enter your Cloud Admin Password.

Step 2: Select ‘Merge Device and Cloud Data’ from the list of options.

Step 3: Tap on Frameworks, this will list the Frameworks you have on this device.

Step 4: Now choose which framework you are looking to merge.

Step 5: You’ll be presented with the frameworks in the Cloud. Select the framework you want to merge with. It will ask you to confirm.

The framework on the device will be overwritten with the cloud version.

Repeat for other frameworks.

Break a connection…

Step 1: Tap Menu > Cloud Settings and enter your Cloud Admin Password.

Step 2: Select ‘Merge Device and Cloud Data’ from the list of options.

Step 3: Tap on Frameworks.

Step 4: Tap on the framework that you wish to break the connection with the cloud for and confirm when prompted.

Repeat for other frameworks.

You can re-merge the same framework again by following the make a connection steps above.
